Resident and Fellow Development Funds- Anesthesiology

 

Institutional Guidelines (rev 8/25/21)

·         Each postgraduate physician trainee will be provided up to $1000 annually toward their professional development.

·         These funds DO NOT roll over and accumulate year-to-year.

·         One trainee’s funds cannot be combined with other trainee’s funds to increase the overall amount.

·         These funds are to be used to enhance the trainee’s education and development as a clinician.

IN ORDER TO ENSURE ELIGIBILITY FOR REIMBURSEMENT, EMAIL REQUEST TO KELLY RYAN-CRUZ  keryancr@utmb.edu PRIOR TO PURCHASE.  

All receipts must be turned into Kelly ASAP.  The receipt must clear the service center within 60 days to be eligible for reimbursement.

Anesthesiology Department resident development:

·         Access to Anesthesia Toolbox and True Learn Q-Bank

·         ACLS/BLS

·         USMLE Step 3 if taken as PGY-1

·         BASIC & ADVANCED Board exam fee

·         TSA & ASA Membership (Anesthesiology Journal)

 

  • Residents may elect to have Late Room earnings added to REA fund.  This can provide additional funds for expenses associate with meetings, etc.  Taxes are not subtracted from late room earnings posted to the REA.

 

  • REA funds may be used primarily for medical books, journal subscriptions and travel to approved professional meeting(s). Electronic/ digital formats for books are reimbursable. You may not purchase equipment (i.e. –stethoscopes, nerve stimulators.)

  

  • Residents may be reimbursed up to $150 for keyboard/case/accessories for the tablets.

 

  • Other expenses must be directly related to the resident’s education and approved beforehand by the Program Director, Dr. Lynn Knox.

The Moody Medical Library provides a variety of Anesthesiology e-books free of charge for our residents through our Anesthesiology page on the library website.

 

  • For reimbursement of books purchased outside the Department, you must submit the original receipt with your name on it and a copy of the front of the book purchased.   We cannot reimburse for taxes paid.

 

memberships

 

The department will reimburse ASA/TSA (American Society of Anesthesiologists/Texas Society of Anesthesiologists), IARS (International Anesthesiology Research Society), and TMA (Texas Medical Association) membership dues for residents. This is not charged to your REA but is a separate benefit. Please join ASA/TSA and renew each year.  Our ability to send a resident delegate to ASA each year is based on our program’s percent of resident membership.  With these memberships, residents receive two monthly journals, Anesthesiology and Anesthesia and Analgesia.

 

·         Our Residency coordinator will automatically enroll all residents in ASA/TSA each year and pay through our department’s direct bill account.  Your membership will be paid each year for the duration of your residency.

·         If you wish to join IARS, you may download directly from the membership website and request reimbursement. 

 

SUPPLIES & EQUIPMENT

 

The Department will reimburse for the following items:

·         Protective Eyewear (maximum $100)

·         1 pair of OR shoes (maximum of $100)

 

The Department will provide to each resident:

·         a computer for use at home (must be returned at end of residency per UTMB rules)

·         lab coats

·         digital pagers

 

 

STATE LICENSURE

 

All residents must have either an institutional permit or Texas medical license.  The department will pay Training Permit fees for your entire residency. You will need a valid license to enter the ABA board certification process after graduation (written boards are the first step). This DOES NOT have to be a Texas license if you plan to practice out of state. It can easily take 6 months to get a Texas License approved.

 

If you choose to get a TX license, your training permit and institutional DEA is no longer valid. You must also immediately apply for DEA. The Department will ONLY reimburse up to $750 for Texas Medical License registration (not any of the initial licensure application fee.)  If you have to pay for two years, but will graduate in one year, you will only be reimbursed for one year or up to $375.  Be aware that reimbursement over the entire residency again is for a max of $750 so you should not register the license before the beginning of your PGY-3 year or you will need to renew again before graduation at your own expense. 

 

 

DEA LICENSE

 

The UTMB Institutional DEA number cannot be used once Texas Medical Licensure is obtained, therefore, each resident is responsible for obtaining his/her individual Federal DEA number. 

 

·         Copies of this document must be provided to Residency Coordinator so she can submit to the UTMB GME office. Methodist and Shrine require DEA for credentialing or will not allow you to rotate there!

·         The Department will reimburse the fee for the DEA (2 years) one time (prorated to one year if graduate within the year).

·         Again, be aware that reimbursement over the entire residency is for a max of two years, so you should not register the license before the beginning of your PGY-3 year or you will need to renew again before graduation at your own expense. 

 

 

ABA STAGED BOARD EXAMS

 

ABA Staged Board Examinations: fees reimbursed: $775 for BASIC Exam taken just after PGY-2 (if passed- we do not reimburse if fail BASIC) and $775 for ADVANCED Exam. We do not reimburse for APPLIED exam fees.

 

 

USMLE

 

The Department will reimburse for USMLE Step III ONLY if:

  • PGY1- passed by June 30 of PGY-1
  • Anesthesiology Department expectation is that Step III be taken prior to starting CA-1 year. (no reimbursement)
  • It is a UTMB GME requirement that Step III be completed prior to end of PGY-2 year or you will be placed on an unpaid leave of absence and not promoted to next level.
  •  Two administrative leave days are granted for the USMLE.

 

NRP (Neonatal Resuscitation Program) St. Joseph’s Hospital

      

  • Dept. will pay for the study guide book and the online examination fee

 

Meeting Time

Administrative leave for approved meeting time will be granted which does not go against the total of 20 days allowed by ABA requirements.  All requests for meeting time must receive the approval of the Program Director with the recommendation of the Chief Resident(s).

If travel expenses approved by administration, residents may use any available money in their individual Resident Education Account for meeting expenses.  OR staffing requirements may limit the number of residents who may be on meeting leave at the same time.  Active participation (e.g., presenting an abstract) will be given priority over passive participation.

·         Approved time away from the OR for humanitarian missions will be equally divided between vacation and meeting time.  REA funds may be used to pay associated expenses. 

 

UTMB Department of Anesthesiology encourages resident scholarly activity that leads to participating in local and national professional meetings. In order to facilitate attendance for resident presenters, the department will provide meeting funds as approved on a case-by-case basis.

 

Resident projects must have faculty mentor to be considered for approval. Mentor must review projects before submitted for acceptance.

 

  • Residents should not book airfare, etc. until approval form signed by Program Director.
  • Any meeting time granted, regardless of having posters/abstracts accepted, is dependent on staffing availability.
  • Reimbursements for approved meetings are capped at $1000 per meeting. Residents may use personal book funds for additional reimbursement.
  • Meeting time will be granted for one travel day and one day for the presentation (2 days). If staffing allows, additional time may be charged to Vacation unless part of 5 meeting days given to each resident (usually in PGY4). May be reimbursed for 2 nights’ hotel, registration fees, per diem and airfare, up to $1000.
  • If more abstracts accepted for a single meeting than can be accommodated by schedule or available funds, faculty committee will choose best presentation to attend. Presentation of original research will usually take priority over challenging cases or reviews.
  • Only one resident will receive meeting time/ reimbursement per submission.
  • Generally, will only be reimbursed once for same poster/ abstract presented at multiple meetings. Exceptions on case-by-case basis.
  • Generally, limit to one meeting per resident per year. Exceptions on case-by-case basis. Consideration will be given to expanded GAARRC presentations accepted to other meetings.
  • International meetings are not approved for residents.

RESIDENT ELIGIBILITY FOR REIMBURSEMENT

 

  • Must be resident in good standing as determined by CCC.
  • Accounts may be frozen at discretion of PD until required deadlines met. For example, Case Logs, QI projects, Milestone requirements (RCAs), New Innovations: evaluations, portfolios, scholarly activities, etc.
